Scheduled jobs

Some of Journey's work isn't triggered by anything you do: it happens on a clock, in the background, so that routine follow-ups and housekeeping keep happening whether or not anyone remembers them. You don't start these jobs and you won't see them run; they're listed here so that when a client gets a reminder or a number quietly stays in sync, you know what's behind it.

The jobs

JobWhat it doesWho it reaches
Recurring task spawningCreates the next occurrence of each recurring task on its schedule.Creates work; the assignee is notified as normal.
Payment remindersChases outstanding invoices on a schedule, and escalates ones that stay unpaid.Reminder emails to the client.
Client to-do remindersNudges clients whose to-do has gone past its due date. Throttled to once every three days per to-do, so a lingering item never emails daily.In-app and email to the client, when an email is on file.

Stale and overdue returnsFires the "return goes stale" and "return becomes overdue" workflow rules.Whatever your own rules do. See workflow rules.
Tax-year rolloverOpens the new tax year. See rollover.Creates records; sends nothing.
Monthly AI creditsGrants each firm its plan allowance and rolls a third of the unused balance into a bucket that does not expire.Billing only; no notifications.
Seasonal seat warningWarns owners in late April that the seasonal-seat window is closing, so over-cap seasonal seats return to the full rate on May 1.In-app alert to firm owners.
Document export builds and cleanupPrepares document export bundles and removes expired ones.Runs in the background only.

Housekeeping jobs also run that you will never see: pruning old audit and job-run records, refreshing cached figures, and health checks.

The staff-email rule applies here too

The same principle from Notifications holds for these background jobs: they don't email your staff. Anything staff-facing (an escalation, a review flag) arrives as an in-app bell notification. The client-facing jobs, like payment reminders, sales-tax nudges, and status updates, do email the client, because reaching the client is the whole point of them.

Two things that do not run, despite appearing to

There was an onboarding check-in job that emailed firm owners a recap during their first month on Journey. It has been turned off, in keeping with the staff-email rule, so it no longer sends anything. It is mentioned here only so that if you were expecting those emails, you know their absence is intentional.

Seat reconciliation, which would keep your billed staff-seat count in step with who is actually active, is built but is not currently scheduled. In practice that means seats above your plan cap are not being billed. This page previously listed it as running, which was wrong.

Timing

Scheduled jobs run on a fixed cadence, typically once a day. Where a client-facing reminder has a frequency you can set (payment reminders, for example), it follows the schedule you've configured rather than a fixed one.
